What we do:
This unit, under the general oversight of the University Registrar, is critical for ensuring that Wellspring University maintains a qualified, motivated, and well-managed workforce across its academic, administrative, technical, and junior staff categories. Its key functions include:
- Staff Recruitment and Selection: The Personnel Unit spearheads the process of attracting, screening, interviewing, and onboarding new employees. This involves advertising vacant positions, managing applications, coordinating selection panels, and issuing formal letters of appointment in line with the University’s approved staff establishment.
- Personnel Records Management: It serves as the custodian of all staff data. This includes maintaining accurate and up-to-date records of personal information, qualifications, employment history, leave entitlements, disciplinary actions, and performance appraisals. These records are essential for administrative purposes, planning, and reporting.
- Staff Welfare and Development: The unit is responsible for administering staff welfare schemes, including health insurance, housing allocations (where applicable), and various allowances. Crucially, it plays a role in facilitating staff training and development programs, processing applications for study leave, and managing the promotion exercise to support career progression.
- Leave Administration: It oversees the management of all types of staff leave, ensuring compliance with university policies and labor laws. This includes processing annual leave, sick leave, maternity/paternity leave, and study leave, maintaining accurate records of leave balances.
- Disciplinary and Grievance Procedures: The Personnel Unit is instrumental in implementing the University’s disciplinary framework, handling staff grievances, and ensuring that all such matters are addressed fairly, transparently, and in accordance with established university regulations and labour laws.
- Retirement and Exit Management: It handles the processing of retirement benefits, gratuities, and pension documentation for retiring staff members, and manages the exit procedures for those leaving the University for other reasons.
- Policy Implementation and Compliance: The unit ensures that all human resource policies, procedures, and regulations approved by the University’s Governing Council are effectively implemented. It also ensures the University’s compliance with relevant national labor laws and regulations.
